Job Description

The Administrative and Office Support Specialist will be responsible for providing administrative support to our team at W Lopez Designs. This includes assisting with general office administration, clerical tasks, and data entry.

Main Responsibilities:
  • Assist in general office administration and clerical tasks, including document preparation, filing, and correspondence.
  • Provide excellent customer service by reporting directly to the Administration Head, Gallery Manager, and Management, providing updates and progress on assigned tasks.
  • Coordinate tasks and schedules across Interior Design, Art Gallery, and Administration departments to ensure efficient support for all operations.
  • Undergo training on data entry and documentation processes to maintain accuracy and efficiency.
  • Support gallery operations, including artwork ingress, packaging, and handling for exhibitions and deliveries.
  • Perform bank transactions and financial errands as required.
  • Manage office supplies, including procurement, inventory tracking, and replenishment.
  • Ensure office cleanliness and organization to maintain a professional and functional workspace.
  • Receive training for encoding tasks to support administrative documentation and record-keeping.
  • Monitor and maintain an inventory of office equipment, furniture, vintage pieces, and sales-related items.
