Job Title: Executive Support Specialist

We are seeking an exceptional Executive Support Specialist to provide high-level support to our Chief Operating Officer (COO). This is a unique opportunity to work with a dynamic team and contribute to the success of our organization.

About the Role:

The Executive Support Specialist will be responsible for managing the COO's schedule, coordinating internal and external stakeholders, providing logistical and travel support, and working on operations-related projects. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to maintain confidentiality.

Key Responsibilities:

  1. COO Calendar Management:
    • Manage and maintain the COO's calendar and appointments.
    • Provide reminders of meetings and appointments.
  2. Office Management:
    • Answer and screen incoming calls and emails.
    • Direct to appropriate parties.
    • Receive, sort, and forward all incoming correspondence to CSU Leaders.
    • Ensure all checks and documents for signature are properly attended to and returned to parties concerned on time.
    • Complete administrative tasks including requests for payment, processing and facilitating payment or reimbursements, and cash advances for the boardroom and pantry supplies.
    • Act as Representative to COO's Quarterly and Annual Income Tax Return.
    • Perform general office duties such as ordering supplies, maintaining records, filing, and retrieving corporate documents and reports.
  3. Travel Arrangements:
    • Arrange complex and detailed travel plans, itineraries, and compile documents for travel-related matters.
    • Coordinate with accredited service providers for travel arrangements of COO and family.

Qualifications:

  • Possesses the ability to maintain the highest level of confidentiality.
  • Bachelor's degree in any 4-year course.
  • At least 4 years of related work experience.
