About the Role:
The Executive Support Specialist will be responsible for managing the COO's schedule, coordinating internal and external stakeholders, providing logistical and travel support, and working on operations-related projects. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to maintain confidentiality.
Key Responsibilities:
- COO Calendar Management:
- Manage and maintain the COO's calendar and appointments.
- Provide reminders of meetings and appointments.
- Office Management:
- Answer and screen incoming calls and emails.
- Direct to appropriate parties.
- Receive, sort, and forward all incoming correspondence to CSU Leaders.
- Ensure all checks and documents for signature are properly attended to and returned to parties concerned on time.
- Complete administrative tasks including requests for payment, processing and facilitating payment or reimbursements, and cash advances for the boardroom and pantry supplies.
- Act as Representative to COO's Quarterly and Annual Income Tax Return.
- Perform general office duties such as ordering supplies, maintaining records, filing, and retrieving corporate documents and reports.
- Travel Arrangements:
- Arrange complex and detailed travel plans, itineraries, and compile documents for travel-related matters.
- Coordinate with accredited service providers for travel arrangements of COO and family.
Qualifications:
- Possesses the ability to maintain the highest level of confidentiality.
- Bachelor's degree in any 4-year course.
- At least 4 years of related work experience.
