
Customer Service Project Associate

We are seeking a detail-oriented and organized individual to join our organization as a Customer Service Project Coordinator.
This role plays a key part in ensuring smooth end-to-end order fulfillment by supporting sales, project management, and accounting teams.
The successful candidate will be responsible for processing and tracking orders, coordinating with vendors, and maintaining clear communication with both internal teams and clients.
Key Responsibilities:- Order Processing and Tracking
- Process, track, and bill customer orders with accuracy and efficiency.
- Vendor Coordination
- Assist in preparing product specifications, pricing research, and vendor discussions.
- Submit and manage new customer and vendor forms for approval.
- Proposal Development
- Support the development of client proposals as needed.
- Order Verification and Management
- Verify and manage manufacturer orders, ensuring accuracy in details and specifications.
- Software Utilization
- Utilize software to manage order processing and documentation.
- Product Specification Creation and Review
- Work with tools to create and review product specifications.
- Order Status Follow-up
- Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations.
- Order Tracking System Maintenance
- Maintain and update the order tracking system, providing regular reports.
- Delivery and Installation Coordination
- Coordinate and confirm deliveries and installations with warehouses and client representatives.
- Warehouse Receiving and Documentation
- Track warehouse receiving of products and ensure proper documentation.
- Client Satisfaction
- Ensure client satisfaction by assisting with final approvals and addressing any concerns.
- Invoice Processing and Project File Management
- Process invoices and maintain well-organized project files.
- Team Collaboration and Participation
- Participate in team meetings and company initiatives.
- Additional Responsibilities
- Perform other related duties as assigned.
- Excellent English Communication Skills
- Strong interpersonal skills – ability to interact effectively with clients and internal teams.
- Highly Organized with Strong Project Management Skills
- Able to manage multiple tasks efficiently.
- Tech-Oriented and Comfortable with Technology
- Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
- Software Experience
- Experience with software is required.
- Basic Understanding of Tools and Familiarity

- Proficiency in Microsoft Office Suite

- Ability to Meet Deadlines and Work Efficiently Under Pressure
