Job Title: Fleet Operations Specialist

The role of the Fleet Operations Specialist is pivotal in ensuring seamless transportation services for clients. This position requires effective communication with clients regarding schedules, requests, and service issues.

A key responsibility of the Fleet Operations Specialist is to manage and resolve disputes or complaints from both clients and drivers in a timely and professional manner. They will investigate incidents, mediate disagreements, and propose fair resolutions, documenting all outcomes for future reference.

To ensure efficient fleet operations, the Fleet Operations Specialist will collaborate with various internal departments, such as sales, finance, and human resources. Regular updates and reports on fleet performance and challenges will be provided to management.

Fleet vehicle allocation and utilization are critical components of this role. The Fleet Operations Specialist will optimize vehicle allocation based on operational needs and driver availability. Vehicle utilization rates will be monitored, and opportunities for improved efficiency will be identified.

The specialist will also ensure compliance with relevant local, national, and company regulations regarding fleet vehicles. They will manage vehicle licensing, registration, and insurance renewals, maintaining comprehensive fleet documentation, including driver logs, accident reports, and fuel consumption records.

Accident and incident management is another vital function of the Fleet Operations Specialist. They will coordinate and manage accident reporting and investigations, liaise with insurance providers for claims processing, and implement measures to prevent future incidents.

Additionally, the specialist will assist in the procurement process for new vehicles, including research, vendor liaison, and specification development. Disposal of old or redundant fleet vehicles will be coordinated.

The Fleet Operations Specialist will utilize fleet management software and GPS tracking systems to monitor and manage vehicles. They will stay updated on new technologies and best practices in fleet management.

Promoting a strong safety culture within the fleet is essential. Vehicles must be safe and roadworthy, and any safety concerns will be addressed promptly.
