About the Role:

The Intake Specialist is a remote customer service position that requires excellent communication and organizational skills. The specialist will be responsible for handling patient intake calls, scheduling appointments, and coordinating with doctors to provide high-quality care.

  • Handle patient intake calls in a friendly and professional manner, providing warm welcomes and reassurance to patients in urgent or stressful situations.
  • Collect initial information from patients with empathy and efficiency, maintaining confidentiality and sensitivity when handling personal health information.
  • Schedule same-day or urgent appointments accordingly, coordinating with on-call doctors and inputting details into the scheduling system with high accuracy.
  • Determine and assign the appropriate doctor for each case based on patient symptoms, location, and timing, communicating promptly with doctors to confirm their availability and provide necessary patient details.
  • Send confirmation details and informative follow-ups to patients and doctors via email, ensuring they have all necessary information to prepare for appointments.
  • Document outcomes and feedback after each appointment, addressing any additional patient needs or questions that arise post-visit.
  • Proactively manage and resolve logistical issues during the intake or appointment process, including handling scheduling conflicts, resolving missed connections between patients and doctors, and troubleshooting technical difficulties.

Key Requirements:

  • 1+ years of experience in a customer service, patient intake, or call center role (healthcare industry experience beneficial but not required)
  • Excellent communication and active listening skills, with a clear speaking voice and strong written communication
  • Customer-centric approach, with empathy, patience, and professionalism in every interaction
  • Organizational skills, able to juggle multiple incoming calls, scheduling tasks, and follow-ups without dropping details
  • Tech savvy, comfortable using technology to facilitate workflow, with experience in electronic medical record systems and CRM tools preferred
  • Critical thinking and problem-solving skills to effectively match doctors with patients and resolve scheduling or logistical conflicts
  • Meticulous attention to detail, committed to accuracy in recording patient information, scheduling details, and follow-up notes
