This highly organized and detail-oriented Administrative Professional will oversee day-to-day tasks for construction operations. The ideal candidate will have experience with software solutions.
The role involves answering phones, entering work orders, processing invoices, researching permits and licenses, and providing office support.
Key Responsibilities:- Answer incoming phone calls, take accurate messages, and provide customer support.
- Enter work orders, project details, and job updates into software systems.
- Prepare and process invoices, and assist with accounts payable and receivable entries.
- Maintain accurate financial and project records in accounting software.
- Research permit and license requirements for jobs in various municipalities.
- Coordinate with project managers, estimators, and field crews to ensure timely information flow.
- Maintain organized digital and physical filing systems for contracts, invoices, and project documents.
- Assist with scheduling, correspondence, and other general administrative duties.
- Prior experience in an administrative or bookkeeping role within construction is preferred.
- Experience with software solutions strongly preferred; familiarity with other industry software accepted.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and accounting software.
- Strong communication skills and professional phone etiquette.
- High attention to detail and accuracy in data entry and recordkeeping.
