Job Title: Administrative Support Specialist

Overview:

This role offers an exciting opportunity to work in a dynamic administrative environment, supporting core financial, HR, and operational functions. As an Administrative Support Specialist, you will handle day-to-day tasks across various systems, including banking, payroll, bill pay, and tax documentation.

Main Responsibilities:

  • Financial Management: Manage banking and credit card accounts, reconcile monthly transactions, and maintain accurate records.
  • Payroll Processing: Run biweekly payroll for employees and contractors using Gusto, ensuring timely and accurate payment.
  • Accounting and Bookkeeping: Enter and categorize transactions in QuickBooks or Finaloop to maintain accurate financial records.
  • System Integration: Coordinate cross-system reconciliation across bank accounts, Bill.com, Gusto, and internal records.
  • Tax Compliance: File sales tax returns accurately and on time across applicable states.
  • Employee Onboarding: Set up new employee and contractor accounts across Google Workspace, Slack, Gusto, and other internal platforms.

Key Qualifications:

  • Administrative Experience: 3-5 years of experience in administrative, finance, or operations support roles.
  • Financial Acumen: Proven ability to handle sensitive financial information with discretion and accuracy.
  • Organizational Skills: Highly organized, dependable, and proactive in identifying and solving problems.
  • Communication Skills: Strong English written and verbal communication skills across teams and external partners.
  • Technical Proficiency: Comfortable working in a remote environment across time zones and experienced with tools like QuickBooks, Gusto, Finaloop, Bill.com, Google Workspace, and Excel/Sheets.
