
Administrative Professional for Real Estate Office

This is a full-time role that involves providing administrative support to a real estate office. The ideal candidate will have experience working with real estate professionals, be comfortable with industry tools and MLS systems, and have strong skills in graphic design, digital marketing, and social media content creation.
The responsibilities of this role include assisting agents with onboarding, maintaining checklists for new hires, and providing day-to-day agent concierge support. Additionally, the successful candidate will create and update marketing materials using Canva, update agent profiles and headshots on websites, and coordinate monthly marketing pieces and assist with digital/social media campaigns.
The selected individual will also access MLS to pull photos and property data, conduct research for the Commercial Team, monitor listings and leads on set schedule, and forward leads to appropriate contacts. Furthermore, they will maintain organizational checklists, follow/update and organize SOPs and documentation to streamline processes, and provide general administrative support as needed.
- Key Responsibilities:
- Agent Support & Concierge Services: Assist with agent onboarding, maintain checklists for new hires, provide day-to-day agent concierge support, respond promptly to requests, order, schedule, and coordinate installation/removal of real estate signs.
- Marketing & Design: Create and update marketing materials (flyers, just listed/just sold posts, welcome posts, market updates) using Canva, update agent profiles, headshots, and bios on websites, coordinate monthly marketing pieces, and assist with digital/social media campaigns.
- Real Estate Operations: Access MLS to pull photos and property data, conduct research for the Commercial Team, monitor listings and leads on set schedule, forward leads to appropriate contacts, maintain organizational checklists, follow/update and organize SOPs and documentation to streamline processes.
- General Administrative Support: Assist with scheduling, task tracking, workflow management, communicate proactively with leadership, confirm details when needed, support email communication, lead assignment, and follow-up as directed.
- Prior experience as an administrative assistant in real estate (RE office, brokerage, or transaction role).
- Familiarity with real estate technology platforms and MLS access.
- Strong skills in graphic design/digital/social media experience preferred.
- Highly organized, detail-oriented, and reliable.
- Excellent written and verbal English communication.
- Tech-savvy; comfortable using CRM, digital marketing tools, and AI-assisted platforms.
