Job Summary

The ideal candidate for this position should possess exceptional organisational skills, a keen eye for detail, and proficiency in CRM systems and workflow management tools. As a key member of our team, you'll work closely with our national network of brokers and retail stores to ensure seamless transitions for buyer's agents and clients throughout the settlement phase.

Your role will involve coordinating the settlement process, maintaining accurate records, and providing top-notch support to our clients. If you have prior experience in property settlements, conveyancing, or real estate transactions, this is a fantastic opportunity to leverage your skills and join a dynamic team.

Responsibilities
  • Settlement Coordination:
    • Coordinate the settlement process, ensuring all necessary documents are completed accurately and submitted on schedule.
    • Monitor settlement progress and follow up promptly on any outstanding items.
    • Guarantee compliance with legislative and financial requirements during settlement.
    • Maintain and organise settlement files across internal platforms and CRM systems.
  • Client Support & Communication:
    • Serve as primary contact for clients, buyer's agents, conveyancers, and other entities involved in the settlement process.
    • Handle incoming requests, updates, and queries via Microsoft Teams, email, phone calls, and SMS.
    • Provide clients with clear and timely updates on settlement status, ensuring a hassle-free experience.
    • Address and resolve common settlement concerns, escalating complex issues when necessary.
  • Professional Growth & Development:
    • Participate in settlement training to enhance expertise in contract processing, compliance, and core settlement protocols.
    • IDentify opportunities for process enhancements and propose improvements.
    • Maintain a thorough grasp of industry rules and best practices in settlement.
Requirements & Qualifications
  • Minimum 3 years of experience in a coordination, administration, or support role within real estate, property management, or a related field.
  • Achieve accuracy in document preparation to prevent settlement delays or errors.
  • Capacity to manage multiple transactions concurrently without overlooking important details.
  • Proficiency in CRM systems, contract management software, and workflow management tools.
  • Ability to swiftly acquire new technological skills to improve settlement efficiency.
  • Prior knowledge of property settlements, conveyancing, or real estate transactions is advantageous.
  • Familiarity with the legal and financial aspects of property settlements is a plus.
  • Competence in managing client expectations, addressing questions, and collaborating with conveyancers and buyer's agents.
  • Outstanding written and verbal communication skills for responding to emails, phone calls, and messages.
  • Capacity to anticipate and address settlement complications before impacting the client.
