Accounting Specialist Job Description

Key Responsibilities:

  • Perform daily accounting reviews of employees and vendors financial transactions including timely and accurate payments to projects, partners, vendors, government agencies and employees, ensuring compliance with standards and exercising prudence and good stewardship protecting the interest of organization's entrusted resources.

Major Responsibilities:

  • Supplier Management (Priority):
    • Handle supplier inquiries related to payments
    • Reconcile and analyze supplier accounts
  • Supplier Invoicing (Priority):
    • Collect and receive invoices
    • Review invoice accuracy and tax lines
    • Upload invoices
    • Encode invoices into the system
    • Collect hardcopy invoices or OR documents
    • Provide Coupa users with capacity building and feedback on invoice uploading
  • Concur Users Document Management:
    • Handle staff inquiries related to payments
    • Provide Concur users with capacity building and orientations
    • Manage staff's expense report concerns as needed
    • Process exit clearances related to hard copies
    • File and collect hardcopy documents
  • Reporting and Compliance:
    • Record month-end data and accruals
    • Analyze cash advance outstanding balances
    • Report and analyze incidents
    • Monitor, collect, and post-audit hardcopy documents
  • Continuous Improvement and Risk Management:
    • Support process standardization to improve efficiency, reduce overhead costs, increase controls, reduce fraud risk & increase effectiveness
  • Finance in Emergencies:
    • Support emergency response tasks on cash-based programming, urgent invoice processing, and related document management
