About the Role

This is an exciting opportunity to join a global team that delivers tailored solutions to meet the unique needs of its clients.

As a Customer Success Coordinator, you will play a vital role in ensuring seamless client experiences from order intake to invoicing. You will work closely with internal teams and clients to maintain operational excellence and clear communication.

Your key responsibilities will include:

  • Order Management: Reviewing incoming orders for accuracy, coordinating timelines with vendors, and tracking orders through production and delivery.
  • Client Communication: Responding to client questions, requests, and updates in a clear and concise manner, escalating challenges proactively, and maintaining consistent updates with both internal stakeholders and external vendors.
  • Invoicing & Follow-Through: Ensuring timely and accurate invoicing of completed jobs, handling simple bookkeeping and billing reconciliation tasks, and monitoring job status to prevent missed billing or delivery issues.
  • System & Workflow Excellence: Maintaining up-to-date order status in CRM and WIP tools, flagging inefficiencies or risks, and participating in workflow improvement efforts.
  • Quote & Pricing Coordination: Requesting and evaluating quotes from international vendors, identifying and recommending the best pricing options to the sales team based on availability and cost.

Requirements:

  • A minimum of 2 years' experience in virtual assistance, customer service, project coordination, or order fulfillment.
  • Highly organized with strong attention to detail.
  • Tenacious - able to follow through until a job is complete.
  • Able to perform simple bookkeeping tasks accurately and independently.
  • Forward-thinking - able to anticipate issues and propose solutions.
  • Excellent written and verbal communication skills.
  • Familiarity with CRM systems and vendor coordination preferred.
  • Able to thrive in a fast-paced, team-driven environment.
  • Proactive in communication, especially when facing potential delays or escalations.
  • Motivated by team growth, sales impact, and overall business performance.
