Job Description

This role is responsible for providing administrative support to the Senior Vice President and ensuring the smooth operation of the office. The ideal candidate will have excellent organizational skills, be highly detail-oriented, and possess strong communication abilities.

Key Responsibilities:
  • Phone Management: Answer phone calls in a professional manner and redirect them as necessary.
  • Document Preparation: Collate documents for signature by the Senior Vice President and maintain records for future reference.
  • Correspondence and Reporting: Prepare and disseminate correspondence, memos, and forms to facilitate effective communication within the organization.
  • Guest Services: Ensure that office guests are comfortable and well-catered for, including offering refreshments and making arrangements for meetings.
  • Supply Management: Monitor office supplies and place orders as required to maintain an efficient working environment.
  • Travel Arrangements: Make travel arrangements for the Senior Vice President and other team members as needed.
  • Conference Room Management: Prepare the conference room for meetings and arrange for out-of-office meetings as required.
  • Reporting and Expenses: Support the completion of regular reports and prepare PRFs for expenses incurred by the office.
  • Expense Liquidation: Oversee the liquidation of expenses incurred by the office.
