Job Overview

This is a full-time, long-term position dedicated to serving one client in a remote setting. The Legal Coordinator will facilitate the smooth progression of client matters by managing workflows, tracking case statuses, and resolving workflow issues.

Main Responsibilities:
  1. Manage the firm's legal workflow pipeline to ensure tasks and cases progress within deadlines and milestones.
  2. Review case statuses weekly to identify overdue tasks, retainer replenishment needs, or delays requiring attention or resource adjustments.
  3. Communicate with attorneys, paralegals, and support staff to clarify task assignments, address workflow issues, and ensure progress is maintained.
  4. Assist in preparing and maintaining reports to highlight case progress, workflow patterns, and areas needing improvement.
  5. Conduct routine checks in the case management system to ensure deadlines, time entries, and documentation are accurate and up-to-date.
  6. Coordinate and facilitate case status meetings with the legal team, ensure active cases are discussed, next steps identified, and tasks assigned appropriately.
  7. Provide updates to the Administrator on case pipeline status and escalate ongoing challenges requiring higher-level intervention.
  8. Assist in implementing changes or improvements to workflows as directed by leadership, offering feedback and suggestions when appropriate.
Requirements:
  • At least 3 years of experience in a legal environment (e.g., case coordination, paralegal work, or legal operations).
  • Strong understanding of legal workflows and case management processes.
  • Proficiency with Microsoft Office Suite and case management systems.
  • Commitment to maintaining confidentiality and exercising discretion with sensitive information.
  • General knowledge of legal terminology and procedures.
  • Exceptional organizational skills with attention to detail and accuracy.
  • Fully fluent in English.
  • Ability to work U.S. business hours (Pacific, Central, or Eastern Time).
  • Career-oriented mindset; this position is for serious, long-term candidates.
Preferred Qualifications:
  • Experience with case management software and legal workflow tools; familiarity with Clio is beneficial.
  • Certification in legal studies is highly valued.
