About the Role

This pivotal role supports a CEO driving growth in the media industry. As Operations Specialist, you will ensure seamless execution of daily operations, project timelines, events, partnerships, and communications.

The ideal candidate excels at managing multiple tasks, wears many hats, and possesses outstanding organisational and project management skills.

  • Manage day-to-day activities with smart prioritisation and clear communication.
  • Own calendar scheduling and coordinate internal and external meetings efficiently.
  • Book travel and accommodation with foresight and precision.
  • Take accurate meeting minutes and follow through on action points promptly.
  • Ensure CRMs (e.g., Monday.com, HubSpot, Salesforce) are maintained accurately.
  • Organise shared drives, filing systems, and maintain guest lists, RSVPs, and event reminders.
  • Support post-event surveys, reporting, and webinar content organisation effectively.
  • Handle member and partner onboarding, communications, and database updates seamlessly.
  • Manage general queries professionally and track RSVPs for activations.
  • Compile year-end partner performance reports and presentation materials.
  • Build and manage project trackers, timelines, and checklists.
Requirements
  • Proven experience as an Operations Specialist, Chief of Staff, or Executive Assistant at mid–senior level.
  • Strong proficiency with productivity tools (Google Workspace, MS Office, Slack, Zoom).
  • Excellent reporting and presentation-building skills.
  • Ability to work under pressure, prioritise, and perform resourcefully.
  • Collaborative approach, relationship-driven, and solutions-focused mindset.
