Financial Coordinator Job Summary:

The ideal candidate for this role will oversee all accounting operations. This involves managing complex financial operations across multiple systems, including Traverse (accounting), Impress (manufacturing ERP), and hundreds of Shopify stores.

Key Responsibilities:

  1. Manage complete financial management and reporting
  2. Perform multi-platform e-commerce reconciliation on hundreds of Shopify stores
  3. Conduct manufacturing cost accounting and job costing
  4. Oversee cash flow management and strategic support
  5. Lead team and process optimization efforts
  6. Implement AI tools to automate processes

Financial Management & Reporting:

  1. Deliver accurate and timely financial statements within 10 business days
  2. Oversee data flow between Traverse, Impress, and Shopify platforms
  3. Prepare and analyze:
  • Income Statements with department/product line detail
  • Cash Flow Statements and projections
  • Balance Sheets with variance analysis
  • Job Costing reports from manufacturing operations

E-commerce Operations:

  1. Reconcile revenue and cash deposits across hundreds of Shopify stores
  2. Ensure accurate payment processing management
  3. Manage multi-state sales tax obligations comprehensively:
  • Research, register, and enroll for sales tax permits in new US states as business expands
  • Monitor sales thresholds and activities to identify new state tax obligations
  • Manage accurate sales tax calculations and ensure timely monthly/quarterly filings

Manufacturing & Cost Accounting:

  1. Work with Impress ERP to track production costs and job profitability
  2. Oversee inventory valuation, cycle counting, and cost of goods sold calculations
  3. Analyze material, labor, and overhead variances
  4. Oversee accounts payable processes and vendor relationships

Process Optimization & AI Implementation:

  1. Gradually implement AI tools to automate bank reconciliations, invoice processing, expense management, and financial reporting processes

Leadership & Compliance:

  1. Directly supervise Staff Accountant and other accounting team members
  2. Ensure adherence to GAAP, tax regulations, and internal controls
  3. Coordinate and support external audit processes
  4. Provide financial insights to support business decision-making
