Service Writer Position

The Service Writer is a crucial member of our team responsible for creating accurate and timely service quotes, communicating effectively with internal teams and customers, and supporting the service workflow from inquiry to completion.

This role requires a highly organized and detail-oriented individual who can maintain clear communication, prepare service documentation, and track quote status. The ideal candidate will have strong administrative and technical aptitude, be proactive in problem-solving, and thrive in a fast-paced environment.

Key Responsibilities:

  • Prepare detailed and accurate service and parts quotes using specialized software or equivalent systems.
  • Review service requests, technical specifications, and diagnostic reports to determine labor and parts requirements.
  • Coordinate with technicians to ensure accuracy and completeness of quotes.
  • Maintain a consistent and professional format and structure across all quote documentation.
  • Serve as the main point of contact for service inquiries and quote updates.
  • Communicate clearly with customers regarding quote timelines, revisions, and service expectations.
  • Follow up on outstanding quotes and assist in converting quotes to active work orders.
  • Ensure all customer interactions are recorded and updated in the CRM or quoting system.

Requirements:

  • A bachelor's degree in the related field is preferred.
  • 2+ years of administrative, estimating, or quoting experience in a service or technical environment.
  • Experience in the trucking or engineering industries is preferred but not required.
  • Proficiency with quoting software; experience with QuoteWriter is a strong plus.
  • Experience using CRM systems or workflow management tools is a plus.
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven setting.
  • Comfortable with customer-facing communication and technical terminology.
