We seek an Executive Support Professional to manage calendars, inboxes, travel logistics, and communications for senior leaders. This role involves scheduling internal and external meetings across multiple time zones, preparing materials, and owning administrative tasks.
About the Role- Manage calendars and schedules for senior leaders to ensure optimal use of time.
- Coordinate travel arrangements, including booking flights, hotels, and rental cars.
- Prepare meeting materials, such as agendas, presentations, and supporting documents.
- Own administrative tasks that enable senior leaders to focus on strategic work and high-value relationships.
- Schedule internal and external meetings, ensuring all parties are aligned and prepared.
- Review CRM records regularly to identify follow-ups, schedule stakeholder meetings, and support deal progression.
- Conduct outreach to connect with decision-makers and schedule discovery or follow-up meetings.
- Research schools and districts to find missing contacts or key stakeholders and update CRM records accordingly.
- Track touchpoints, update notes, assign tasks, and ensure CRM records are accurate, current, and visible across teams.
- Proven experience as an Executive Assistant, Sales Coordinator, or similar support role in a fast-paced environment.
- Excellent organizational skills, attention to detail, and ability to juggle multiple priorities without missing a beat.
- Strong communication skills – clear, professional, and confident when reaching out to stakeholders or navigating competing demands.
- Experience using CRM tools, Google Workspace, and other digital productivity platforms.
- A proactive, self-starting mindset – you’re someone who sees what needs to be done and makes it happen.
- Ability to shift between internal team coordination and client-facing communication with ease and professionalism.
- Comfort with research, outreach, and appointment setting – you’re not afraid to dig in, follow up, and close the loop.
