Administrative Operations Coordinator

YourVA, F&C Outsourcing Services OPC is seeking a highly organized and detail-oriented Administrative Assistant for Operations to join our team. This role will provide administrative support to the Head of Operations and other team members, ensuring seamless day-to-day operations.
Key Responsibilities
- Provide exceptional administrative support to the Head of Operations and other team members.
- Coordinate meetings, appointments, and events for the operations team with precision and attention to detail.
- Prepare and maintain daily, weekly, and monthly reports on operations activities, highlighting key metrics and trends.
- Assist in preparing budgets and tracking expenses, ensuring accurate financial records.
- Organize and file operational documents, contracts, and reports, maintaining a secure and accessible database.
- Serve as a liaison between departments, fostering effective communication and collaboration.
- Handle all incoming and outgoing correspondence, including emails and phone calls, with professionalism and discretion.
- Assist with data entry, filing, and documentation related to operational processes, ensuring accuracy and compliance.
- Help manage and maintain operational workflows, ensuring deadlines are met and tasks are completed efficiently.
- Maintain up-to-date records of operational tasks and performance metrics, providing valuable insights for improvement.
Qualifications
To be successful in this role, you should possess excellent organizational skills, strong multitasking abilities, and excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with operational software/tools is a plus. Strong attention to detail, problem-solving skills, and ability to work independently and as part of a team are also required.
Working Conditions
This is a full-time position, Monday to Friday, 7:00 AM to 5:00 PM. The office environment is professional and dynamic, with opportunities for growth and development.
