About this Role:

  • You will provide exceptional support to our Vice Presidents of Sales and Business Development.
  • Your role will involve managing calendars, inboxes, travel logistics, and communications.
  • Scheduling internal and external meetings across multiple time zones.
  • Preparing materials for meetings, workshops, and conferences.
  • Owning administrative tasks that keep both VPs focused on strategic work and high-value relationships.

Key Responsibilities:

  1. Manage calendars, inboxes, travel logistics, and communications for the VP of Sales and VP of Business Development.
  2. Schedule internal and external meetings across multiple time zones.
  3. Prepare materials for meetings, workshops, and conferences — including agendas, presentations, and travel arrangements.
  4. Review CRM (HubSpot) regularly to identify follow-ups, schedule stakeholder meetings, and support deal progression.
  5. Conduct outreach (email and phone) to connect with decision-makers and schedule discovery or follow-up meetings.
  6. Research schools and districts to find missing contacts or key stakeholders and update CRM records accordingly.
  7. Track touchpoints, update notes, assign tasks, and ensure CRM records are accurate, current, and visible across teams.

Requirements:

  • Proven experience as an Executive Assistant, Sales Coordinator, or similar support role in a fast-paced, collaborative environment.
  • Excellent organizational skills, attention to detail, and ability to juggle multiple priorities without missing a beat.
  • Strong communication skills — clear, professional, and confident when reaching out to stakeholders or navigating competing demands.
