Business Operations Specialist Job Description

We are seeking a highly organized and detail-oriented Business Operations Specialist with a strong background in Accounting and Business Administration. The ideal candidate will be responsible for monitoring business listings, communicating with stakeholders, and providing administrative support.

The successful candidate will be responsible for:

  • Monitoring and managing business listings across platforms to ensure accuracy and consistency.
  • Communicating with stakeholders through professional calls, emails, and correspondence.
  • Drafting, proofreading, and sending correspondence with flawless English grammar and tone.
  • Assisting with daily administrative tasks and executive support as needed.
  • Handling Accounts Payable functions, including invoice processing, vendor management, and payment scheduling.
  • Managing Accounts Receivable processes, including billing, collections, and reconciliations.
  • Maintaining accurate financial records and supporting bookkeeping tasks as required.
  • Preparing reports, maintaining organized documentation, and ensuring deadlines are met.
Requirements:
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Prior experience in an accounting firm is highly preferred.
  • Solid knowledge of Accounts Payable and Accounts Receivable processes.
  • Experience with accounting software (e.g., QuickBooks, Xero, or similar).
  • Familiarity with CRM systems or business listing platforms.
  • Excellent verbal and written communication skills in English.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other productivity tools.
