Job Description

The position of Clinic Manager is available at Bravo Lifestyle Brands Commercial Corporation.

  • Ensure the efficient operation of the clinic, adhering to established policies and procedures.
  • Develop and update clinic policies and procedures as needed.
  • Coordinate with various vendors and suppliers, including those for:

Clinic supplies

Equipment maintenance and repairs

Architectural contractors for structural work

Business-related vendors (accountants, marketing partners, city and barangay offices)

Technology vendors for clinic management software and devices

  • Maintain well-functioning equipment and technology.
  • Manage appointment scheduling and ensure adequate staff coverage, arranging replacements as necessary.
  • Distribute administrative tasks fairly among staff (e.g., inventory management, documentation).
  • Maintain a clean and organized clinic environment.

Key Responsibilities:

  • Deliver exceptional customer service and maintain a professional atmosphere.
  • Address client concerns or complaints promptly and efficiently.
  • Oversee client consultations, ensuring accurate treatment recommendations.
  • Maintain confidentiality of client records and treatment history.

Staff Management & Coordination:

  • Oversee the clinic staff, including aestheticians, nurses, and front desk personnel.
  • Hire, onboard, and train staff members.
  • Monitor staff attendance, enforce schedules, and arrange replacements when understaffed.
  • Conduct performance evaluations and provide feedback.
  • Ensure seamless coordination between the front desk, aestheticians, and medical professionals.

Financial, Payroll & Inventory Management:

  • Oversee financial planning, expense tracking, and efficiency.
  • Manage payroll processing, including staff salaries, incentives, and deductions.
  • Ensure timely and accurate payroll disbursement.
  • Track revenue, financial reports, and daily cash flow.
  • Manage pricing structures for treatments and products in line with clinic policies.
  • Ensure accurate invoicing, payment processing, and documentation.
  • Oversee inventory management for skincare products, injectables, and medical supplies, maintaining optimal stock levels.

Compliance & Risk Management:

  • Ensure compliance with local healthcare regulations and safety standards.
  • Maintain proper documentation for medical procedures, including client consent forms.
  • Implement and enforce hygiene and sanitation protocols for staff and clients.

Technology & Software Management:

  • Oversee clinic management software for bookings, client records, and sales tracking.
  • Collaborate with technology vendors to ensure proper maintenance and updates.
  • Analyze software data to monitor clinic performance and identify areas for improvement.
  • Stay updated with the latest industry trends, equipment, and operational best practices.
  • Work closely with suppliers and vendors to access high-quality products and services.
  • Implement new operational strategies to improve efficiency and enhance the client experience.

Conflict Resolution & Problem-Solving:

  • Serve as the primary problem solver for staff disputes and operational challenges.
  • Mediate conflicts among staff to maintain a positive work environment.
  • Address and resolve complaints or concerns between staff and clients professionally.
  • Handle irate clients with patience and provide effective solutions to their concerns.
  • Implement strategies to prevent recurring issues and improve customer satisfaction.
