About the Role

The Operations Specialist will act as a trusted advisor to a busy CEO, handling various responsibilities with ease and efficiency. This includes managing day-to-day operations, project timelines, events, partnerships, and communications.

Key Responsibilities
  • Manage inboxes with precision and communicate effectively.
  • Own calendar scheduling and coordinate internal and external meetings with professionalism.
  • Book travel and accommodation with foresight and planning.
  • Take accurate meeting minutes and ensure follow-through on action points.
  • Maintain CRMs with accuracy and attention to detail.
  • Organise and maintain shared drives and filing systems with diligence.
  • Compile and manage guest lists, RSVPs, and event reminders with care.
  • Support with post-event surveys, reporting, and content organisation.
  • Handle member and partner onboarding, communications, and database updates with precision.
  • Manage general queries with professionalism and track RSVPs for activations.
  • Compile year-end performance reports and presentation materials with expertise.
  • Build and manage project trackers, timelines, and checklists with skill.
Requirements
  • 3-5 years of experience as an Operations Specialist, Chief of Staff, or Executive Assistant at mid–senior level.
  • Strong organisational and project management skills.
  • Proficiency with productivity tools (Google Workspace, MS Office, Slack, Zoom).
  • Excellent reporting and presentation-building skills.
  • Familiarity with advertising, media, or tech industries is beneficial.
  • Meticulous attention to detail and ability to anticipate needs.
  • Strong communication skills, both written and verbal.
  • Discretion in handling sensitive information.
  • Ability to prioritise, stay resourceful, and perform under pressure.
  • Relationship-driven, collaborative, and solutions-focused approach.
