Job Overview

The Logistics Coordinator position is a critical role that requires attention to detail and the ability to coordinate various tasks related to shipment coordination, scheduling, documentation support, compliance assistance, and cost awareness optimization.

  • Key Responsibilities:
  • Assist with the coordination and scheduling of inbound shipments, ensuring timely delivery and optimal resource allocation.
  • Track shipments from suppliers and manufacturers, monitoring their status and communicating updates to relevant teams or partners as needed.
  • Collaborate with team members to select transportation methods based on guidance and industry best practices.
  • Prepare and organize basic import documentation, including invoices and packing lists, to facilitate smooth customs clearance processes.
  • Verify documents for accuracy and completeness, ensuring compliance with regulations and company standards.
  • Support document filing and sharing with relevant teams or partners, maintaining up-to-date records and fostering effective communication.
  • Contribute to the team's knowledge base by learning and following customs and import regulations, staying informed about changes and updates.
  • Assist with the gathering of documents for customs brokers and internal use, ensuring seamless data exchange and minimizing delays.
  • Develop a comprehensive understanding of the customs clearance process, resolving minor issues under supervision and providing guidance to colleagues as needed.
  • Document processes and update internal SOPs as directed, promoting continuous improvement and efficiency gains.
  • Participate in improving team workflows through feedback and collaboration, driving innovation and excellence within the organization.
  • Communicate effectively with suppliers via email or phone to confirm shipment details, resolving any discrepancies or concerns promptly.
  • Report shipment status and updates to internal teams, ensuring transparency and alignment across departments.
  • Help resolve fundamental shipment discrepancies with guidance, applying problem-solving skills and analytical thinking to find solutions.
  • Assist in gathering quotes and rate comparisons for shipments, supporting data-driven decision-making and cost optimization.
  • Support the tracking and logging of shipping-related expenses, maintaining accurate records and contributing to financial planning and analysis.
  • Report delays or issues to senior staff, facilitating prompt escalation and resolution.
  • Assist in documenting and tracking shipping challenges, identifying areas for improvement and informing strategic decisions.
Qualifications and Requirements

To excel in this role, you will require:

  • Bachelor of Science in Customs Administration or other relevant course, demonstrating strong foundation in logistics and customs procedures.
  • Knowledge in Incoterms, enabling effective communication and compliance with international trade regulations.
  • Strong attention to detail and willingness to learn new processes, embracing ongoing development and growth opportunities.
  • Basic analytical and problem-solving skills, applied to resolve complex logistical challenges and improve operational efficiency.
  • Ability to work independently and manage time effectively, prioritizing tasks and meeting deadlines.
  • Clear and professional written and verbal communication skills, facilitating collaboration and stakeholder engagement.
  • Comfortable using Windows-based desktop software and basic office tools, adapting to technology and systems quickly.
  • Excellent organizational skills with a focus on accuracy and quality, maintaining high standards in all aspects of work.
  • Ability to follow instructions and standard operating procedures, adhering to company policies and guidelines.

  • Familiarity with or willingness to learn about shipping processes and documentation, staying up-to-date with industry trends and best practices.

  • A basic understanding of import/export concepts is a plus, showcasing expertise in global trade and logistics.
