The Executive Office Manager at PALM CONCEPCION POWER CORPORATION is responsible for providing high-level administrative support to the Group Chief Finance Officer (GCFO). This position requires exceptional organizational skills, attention to detail, and discretion to manage complex calendars, coordinate confidential financial and operational matters, and handle sensitive communication. The ideal candidate will be able to prioritize and multitask in a fast-paced environment.

Key Responsibilities:

  1. Administrative Support:
    Manage the GCFO's calendar, scheduling meetings, conferences, and travel arrangements, ensuring efficient logistical details.
    Prepare and review documents, presentations, and reports for meetings and decision-making processes, including financial data and sensitive information.
    Screen calls, emails, and correspondence, ensuring timely follow-up and proper handling of confidential matters.
    Coordinate internal and external meetings, setting agendas, preparing materials, and informing necessary participants.
  2. Confidentiality & Sensitive Information Handling:
    Handle sensitive financial and corporate matters with utmost discretion and confidentiality, including private financial data, employee matters, and strategic plans.
    Assist in preparing confidential board reports, financial analyses, and high-level presentations requiring attention to detail.
    Safeguard confidential information by implementing security protocols for documents and communication.
  3. Liaison and Relationship Management:
    Serve as the main point of contact for internal and external stakeholders on behalf of the GCFO, including senior executives, board members, investors, and clients.
    Establish and maintain positive working relationships across the organization and with external partners, ensuring effective communication of the GCFO's priorities.
  4. Project Management & Coordination:
    Support the GCFO with ongoing projects, ensuring deadlines are met and deliverables are completed on time.
    Coordinate and track the progress of cross-functional initiatives and projects, acting as a liaison between the GCFO and other departments.
    Assist in preparing financial or strategic reports as required by the GCFO for senior leadership or board presentations.
  5. Expense Management:
    Assist with managing the GCFO's office expenses, including handling reimbursements, organizing invoices, and tracking expenses related to business activities.
    Review and process financial documentation related to the GCFO's office, ensuring accuracy and compliance with company policies.
  6. Special Assignments:
    Provide support for special projects and ad-hoc assignments as directed by the GCFO, including preparing reports, conducting research, and managing sensitive tasks.
    Anticipate the GCFO's needs and proactively address them, ensuring alignment with organizational goals.
  7. Travel & Event Coordination:
    Coordinate domestic and international travel arrangements for the GCFO, ensuring smooth logistics from flight bookings to hotel accommodations and transportation.
    Organize and attend events, meetings, and conferences on behalf of the GCFO as required, handling any arrangements or details.
