Administrative Support Specialist

Rudolf Lietz, Inc. is seeking a highly skilled and organized Administrative Support Specialist to join our team.
Responsibilities- Vehicle Management: Ensure the registration and insurance of all company-owned vehicles and process claims when needed.
- Coordination: Assist in coordinating matters related to the company's vehicles and rented cars, as well as prepare contracts for car assignments.
- Financial Management: Encode, tally, and segregate gasoline bills for semi-monthly reports.
- Utilities: Coordinate replacement and maintenance of company utilities, such as telephone and water services.
- Mail and Messaging: Coordinate with messengers and mail services for dispatching documents.
- Inventory and Supplies: Manage inventory and replacement of supplies, submitting periodic reports on usage and consumption.
- Equipment Maintenance: Perform general services and maintenance for office equipment, submitting periodic reports.
- Clerical Duties: Handle encoding and filing tasks.
- Reception: Receive, screen, and forward incoming calls and fax messages, assist with lobby reception functions, and handle company visitors.
- Maintenance: Receive, review, and acknowledge incoming mails and parcels according to established procedures.
- Purchasing: Source suppliers, including canvassing legitimate vendors for office supplies and equipment.
- Filing Assistance: Assist the President with filing requirements and dispatch documents as needed.
- Tel Directory and Library: Maintain telephone directories and library materials.
- Miscellaneous Tasks: Perform various duties assigned by management, including sample deliveries and business card requests.
