Job Role:

The role of a medical records specialist is a critical one, responsible for ensuring that all medical records are handled and disclosed in accordance with applicable privacy regulations.

This position requires strong organizational skills, attention to detail, and the ability to work independently. The specialist must be able to receive, validate, and fulfill all medical records requests in a timely manner.

Key Responsibilities:
  • Release of Information (ROI) & Records Fulfillment: This is the primary responsibility of the medical records specialist. They must ensure that all disclosures are supported by valid legal authorizations and comply with applicable privacy regulations.
  • Intake & Triage: The specialist receives and logs all incoming records requests, verifying the identity and authority of the requestor.
  • Clinical & Provider Clearance: The specialist routes the request and proposed record set to the treating clinician and psychiatric/psych prescribing provider for review and written approval.
  • Record Preparation: The specialist retrieves designated record sets from the electronic health record/document repository, applies naming conventions, paginates, and assembles PDFs.
  • Fulfillment & Documentation: The specialist sends records via approved secure methods, recording date/time, contents, recipient, method, and authorizing document.
Requirements:
  • At least 2 years' experience in medical records, health information management, payer documentation support, or billing/finance operations in a healthcare setting.
  • Proven knowledge of HIPAA privacy/security requirements and the minimum necessary standard.
  • Strong written communication skills, concise, professional, and empathetic.
