Job Title: Executive Secretary

We are seeking a highly skilled and experienced Executive Secretary to join our team at Hunter's Hub Incorporated. The successful candidate will provide comprehensive administrative support to our CTO, ensuring smooth day-to-day operations and maintaining the highest level of professionalism.

Key Responsibilities:
  • Manage calendars, schedule meetings, and coordinate with internal and external teams to ensure efficient communication and coordination of tasks, projects, and schedules.
  • Organize and prepare materials for meetings, including drafting agendas, distributing relevant documents, and taking minutes. Ensure follow-up on action items and deadlines.
  • Handle incoming and outgoing communications, draft replies as needed, and prioritize messages for the CTO. Ensure timely responses and appropriate follow-up on important matters.
  • Prepare, review, and edit reports, presentations, and documents required by the CTO. Ensure accuracy and professionalism in all materials before they are shared with stakeholders.
  • Maintain strict confidentiality when dealing with sensitive company information, client data, and internal communications.
  • Act as a primary point of contact between the CTO and other departments, ensuring efficient communication and coordination of tasks, projects, and schedules.
  • Support the CTO in managing and tracking key projects, ensuring deadlines are met and tasks are completed. Provide updates on the status of ongoing initiatives and assist with project documentation.
  • Oversee office-related tasks such as ordering supplies, coordinating with facilities for repairs, and ensuring the CTO's office environment is organized and equipped to meet daily operational needs.
  • Coordinate with vendors, partners, and clients on behalf of the CTO, ensuring professionalism and timely resolution of inquiries or issues.

Requirements:

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Minimum of 3 years of experience in an executive assistant role for a C-suite executive.
  • Excellent verbal and written communication skills, with the ability to professionally interact with internal teams, stakeholders, and external partners.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks, manage deadlines, and respond promptly to the CTO's needs.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
