The Role

You Will Be Responsible For

  • Processing internal referrals and ensuring they are added to the correct lists efficiently.
  • Scheduling and overseeing allied health appointments for patients requiring physical therapy, kinesiology, chiropractic care, occupational therapy, and eye care services.

Key Definitions:

  • PT – Physical Therapy
  • KIN – Kinesiology
  • CC – Chiropractic Care (or sometimes Clinical Counseling)
  • OT – Occupational Therapy
  • Vision – Eye care services, possibly including optometry or vision therapy

Responsibilities Include:

  • Reaching out to approved patients to schedule their treatments over the phone.
  • Managing patient approvals, denials, and follow-up lists accurately.
  • Assisting with EACR treatment block bookings and LTD approvals efficiently.

Additional Tasks:

  • Sending faxes to healthcare providers as needed.
  • Submitting daily reports to management effectively.

Ideal Candidate Profile

  • A minimum of 2 years of experience working as a Virtual Assistant, preferably in a healthcare setting such as physiotherapy, dental clinics, osteopathy, chiropractic, or naturopathy.
  • Previous experience in healthcare administration or patient coordination is a plus.
  • Strong organizational and time management skills are essential.
  • Excellent phone and email communication skills are required.
  • Ability to multitask and manage scheduling efficiently.
  • Proficiency in Microsoft Excel and Google Workspace (Google Spreadsheet, Google Docs).
  • Familiarity with healthcare software tools (EMR/EHR such as WEBPT, JANE APP, Juvono).
  • Experience handling insurance claims (MVA, WSIB, BlueCross, Sun Life) and billing.
