Job Overview

We are seeking a highly skilled and detail-oriented Operations Specialist to join our team. This individual will be responsible for designing and implementing operational processes that drive efficiency and productivity.

Key Responsibilities
  • Develop and maintain centralized systems for tracking assignments, deadlines, and statuses.
  • Communicate effectively with stakeholders through inbound and outbound calls, ensuring clear documentation and follow-up actions.
  • Anticipate potential issues and create contingency plans to keep tasks on track, utilizing pre-reads and reminders to align teams with deadlines.
  • Design and implement low-code automations using tools like Notion, Airtable, Slack, and Zapier to streamline tasks and improve workflow.
  • Collaborate with engineering teams to facilitate regular check-ins on project progress, blockers, and next steps, maintaining accurate documentation and project boards.
  • Utilize AI tools for drafting communications, SOPs, and summaries, verifying outputs for accuracy and maintaining prompt templates.
  • Organize and maintain operational documentation in Notion spaces, writing and updating SOPs as needed.

This role requires strong analytical and problem-solving skills, with the ability to work independently and collaboratively as part of a team.
