Document Coordinator Role

We are seeking a detail-oriented and organized professional to oversee the accurate and timely distribution of project documents across various interior design projects.

The successful candidate will be responsible for maintaining consistency in document management processes, ensuring that all stakeholders receive the necessary information in a prompt and efficient manner.

Key Responsibilities:

  • Organize, scan, copy, and archive project documents in both digital and physical formats.
  • Review documents for accuracy and completeness, including contracts and project-related materials.
  • Update and maintain technical documents such as manuals, workflows, and specifications.
  • Ensure timely distribution of project documentation to internal teams and external stakeholders.
  • Maintain and regularly update document control registers, including post-contract records.
  • Create and manage document templates to standardize internal processes.
  • Support team members and clients in retrieving documentation when required.
  • Oversee documentation flow across departments to ensure consistency and accuracy.
  • Handle sensitive information with a high degree of confidentiality.
  • Prepare project reports and summaries as needed.

Requirements:

  • 2–4 years of experience in a document control or project coordination role, preferably within the design, architecture, or construction industry.
  • Strong understanding of project management processes and document lifecycle.
  • Excellent written and verbal communication skills in English.
  • Highly organized with a keen eye for detail.
  • Confident user of MS Office, especially Word and Excel; familiarity with document management systems is a plus.
  • Proactive problem-solver with the ability to work independently.
  • Strong multitasking skills and ability to prioritize workload in a dynamic environment.
