Job Summary:
We are seeking a highly organized and detail-oriented Virtual Assistant to provide exceptional support to our clients.
As a Virtual Assistant, you will be responsible for managing email correspondence, prioritizing messages, and ensuring timely responses.
You will schedule and manage calendars, appointments, and meetings to ensure seamless coordination.
Performance of internet research, data collection, and report preparation will be essential in providing valuable insights.
Maintaining and organizing digital files and records is crucial in ensuring efficient workflow.
You will handle administrative tasks such as document preparation, data entry, and form completion to ensure accuracy and timeliness.
Supporting social media updates and light content creation will be optional based on your skillset.
Coordination with team members and vendors as required will be necessary to ensure successful collaboration.
Tracking and following up on tasks, deadlines, and deliverables will be critical in meeting expectations.
Assisting in creating presentations, spreadsheets, and other business documents will be an essential part of your role.
Key Responsibilities:
- Manage email correspondence and prioritize messages
- Schedule and manage calendars, appointments, and meetings
- Perform internet research, data collection, and report preparation
- Maintain and organize digital files and records
- Handle administrative tasks such as document preparation and data entry
Requirements:
- At least 2 years of experience in a virtual assistant or administrative support role
- Excellent written and verbal English communication skills
- Strong organizational and time management skills
- Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
- Familiarity with task/project management tools like Trello, Asana, or ClickUp
Preferred Skills:
- Experience with CRM platforms such as HubSpot, Salesforce, or Zoho
- Knowledge of basic bookkeeping or invoicing tools like QuickBooks or Xero
- Basic graphic design skills using Canva or similar tools
