This is a dynamic and forward-thinking Virtual Assistant position that requires exceptional organizational skills, technical proficiency, and excellent communication abilities. The ideal candidate will be able to thrive in a remote work environment, prioritize effectively, and meet deadlines while maintaining discretion and confidentiality.

The Virtual Support Specialist will provide comprehensive administrative support to the CEO, manage calendars, schedule meetings, coordinate appointments across multiple time zones, handle email correspondence, prepare documents, conduct research, and perform other related tasks as needed.

Key Responsibilities:

  • Manage the CEO's calendar, schedule meetings, and coordinate appointments across multiple time zones
  • Handle email correspondence, prioritize messages, and draft responses on behalf of the CEO.
  • Prepare, organize, and distribute documents, presentations, and reports using Google Workspace and Microsoft Office tools
  • Conduct research and provide concise summaries to assist the CEO in decision-making
  • Coordinate virtual meetings, including preparing agendas, taking detailed notes, and following up on action items
  • Maintain organized digital files and ensure timely retrieval of information
  • Act as a liaison between the CEO and internal/external stakeholders

Requirements:

  • A bachelor's degree in a relevant field is preferred
  • Previous experience as a virtual assistant, executive assistant, or in a similar role supporting senior leadership
  • Background in supporting C-level executives is preferred
  • Excellent English skills (written and verbal) with the ability to draft professional emails and documents.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint)
  • Tech-savvy and comfortable learning new tools and software as required
  • Familiarity with project management tools (e.g., Asana, Jira, or similar) is preferred
  • Experience working with a remote team and across time zones is also preferred
  • Strong organizational skills and attention to detail
  • Ability to multitask, prioritize effectively, and meet deadlines in a dynamic environment
