Job Description:

Key Responsibilities:

Leadership & Management:

  • You will be responsible for managing all aspects of client invoicing and receivables.
  • Effective communication with clients and operational teams on urgent requests and issues.
  • Reporting on operations matters to the finance manager.

Business Strategy & Performance:

  • Streamline processes to improve efficiency, utilization, and productivity of resources.
  • Develop promapp and instructions for all finance functions.
  • Clean up financial debtor data to enable monthly statement of outstandings to clients.
  • Lead in managing debt collection procedures and strategies to ensure outstanding invoices are paid when due.

Financial Management:

  • Reconcile all balance sheet accounts quarterly in line with generally accepted accounting principles.
  • Interpretation and understanding of all contracts and assist in ensuring controls and procedures adhere to contractual and accounting policies.
  • Delegated functions in the end-of-month process:
  • Work closely with the finance manager to provide end-of-month financial reports.
  • Follow up internally with operations and administration teams on any missing information pertaining to EOM.
  • Accrue all revenue and expenses not recorded for the period.
  • All payroll journals for the month, including allocation for payroll tax.
  • Site allocation journals for the month, uniforms, IT equipment, etc.
  • Oversee data entry accuracy.
  • Filing and maintaining contract records.
  • Compile and update budget figures in the contract management system.

Quality & Risk Management:

  • Assist in regular audit processes.
  • Creating new contracts on the system with appropriate filing of all documents under site binders.
  • Amending/terminating contracts on the system based on contract notification forms received from operations and appropriate filing of these documents.
  • Liaising with clients and operations teams on invoicing requirements and purchase orders from clients for jobs that are complete.
  • Review open work bills for the period and update the status of the job.
  • Process client invoices for both contract and addition works.
  • Process credit notes for clients based on confirmation received from operations managers.
  • Assist in the yearly price increase process for clients based on fair work commission percentages received.
  • Update/enter site labor budgets to the system.

Reporting:

  • Provide fortnightly pay reports to management.
  • Upload weekly aged debtors reports to sharepoint, highlighting actions taken towards aged debts.
  • Report delinquent debtors and advise course of action with reasoning.
  • Provide ad-hoc reports on finance and systems as requested.

Requirements:

Qualifications:
  • 5+ years' experience in a similar role.
  • Ability to understand BAS, payroll tax, and other statutory reporting is desirable.
  • Ability to acquire knowledge and develop company processes and policies both internally and externally.
  • A solid understanding of contract management and client invoicing.
  • A degree in finance, accounting, or economics is preferred.
  • Australian experience is required.
