Financial Transaction Specialist

We are seeking a detail-oriented Accounts Receivable/Accounts Payable (AR/AP) Specialist to manage the financial transactions of our organization. The role involves processing invoices, ensuring timely payments, and maintaining strong relationships with vendors and clients. This position is ideal for someone who is highly organized, proactive, and has excellent communication skills.

This AR/AP Specialist will be responsible for processing vendor invoices, verifying invoice details, matching invoices with purchase orders, resolving discrepancies, and preparing and processing payments via check, ACH, and wire transfers. They must also maintain accurate records of all AP transactions and update the general ledger, communicate with vendors to address billing discrepancies and confirm payment schedules, reconcile accounts payable transactions, and resolve outstanding balances with vendors.

The AR/AP Specialist will also generate and send customer invoices, monitor customer accounts for overdue payments, follow up on outstanding balances, apply customer payments, and reconcile discrepancies. They will maintain organized records of all receivables, work with customers to resolve billing issues, and negotiate payment arrangements. Additionally, they will assist in preparing aging reports and providing financial insights to management.

Key responsibilities include:

• Process vendor invoices, verify invoice details, match invoices with purchase orders, and resolve discrepancies.
• Prepare and process payments via check, ACH, and wire transfers.
• Maintain accurate records of all AP transactions and update the general ledger.
• Communicate with vendors to address billing discrepancies and confirm payment schedules.

Proficiency in accounting software, such as QuickBooks or Xero, and Microsoft Excel is essential. Experience using CRM systems, like Salesforce, is preferred. Excellent organizational and time management skills, with the ability to handle multiple tasks and meet deadlines, are necessary. Strong attention to detail and problem-solving skills are also required.

Bachelor's degree in Accounting, Finance, or related field is preferred, along with 2-4 years of experience in AR/AP or general accounting. The ideal candidate will have a strong understanding of accounting principles, financial reporting, and reconciliation processes. They must also be proficient in accounting software and Microsoft Excel, and have excellent organizational and time management skills.

The successful candidate will work independently and effectively in a remote environment, communicating professionally with vendors and clients to resolve payment issues. Familiarity with financial compliance and data privacy regulations is a plus.
