At UTRACON Group, we are seeking an experienced Administrative Assistant to join our team. As a key member of our administrative staff, you will be responsible for providing administrative support to various departments and ensuring the efficient operation of our office.

Key Responsibilities
  • Procure office assets such as equipment, stationery, and pantry items.
  • Maintain accurate records of office assets and other miscellaneous items.
  • Cover reception duties, including answering phone calls, handling mail and packages, receiving and directing visitors, updating phone lists, and requesting email ID creations or deletions from HQ.
  • Distribute fax and emails to relevant personnel.
  • Analyze monthly utility, phone, and internet bills.
  • Book air tickets and accommodation as required.
  • Provide administrative support to other departments to ensure efficient operation; handle requests and queries appropriately.
  • Act as a liaison for the payment of SSS, PHIC, HDMF, and BIR.
  • Ensure DOLE compliance by reporting end-of-contract and resigned/terminated employees.
  • Maintain government labor policies and regulations.
  • File sickness notifications and compute approved SSS claims for employees incurred in accidents or sickness incidents.
  • Prepare statutory reports and remittances for SSS, PHIC, and HDMF.
  • Prepare Alpha Lists of employees (1601CF).
  • Maintain digital and electronic records of employees (201 files) and company files.
  • Maintain personal files for all employees, including leave movements.
  • Issue memorandums accurately.
  • Manage employee appraisal procedures accurately.
  • Facilitate the end-to-end process of employee recruitment and onboarding.
  • Perform other assigned duties.
Requirements
  • Bachelor's degree or equivalent experience.
  • Fresh graduates welcome to apply.
  • Strong written and verbal communication skills.
  • Excellent multitasking, organizational, and interpersonal abilities.
  • Proficient in Microsoft Office suite.
