Executive Support Specialist

We're seeking a skilled support professional to empower our CEO in their endeavors.

  • Manage the executive's calendar and optimize scheduling to balance speaking engagements, meetings, and personal activities.
  • Book travel arrangements with precision and proactive thinking, ensuring seamless coordination across time zones.
  • Field communications, prioritize tasks, and ensure timely follow-through on executive priorities.
  • Draft correspondence, prepare briefing materials, and provide day-to-day support at the highest level.
  • Lead special projects from start to finish, bringing structure and calm to complex situations.
  • Build streamlined workflows, leveraging technology and tools to increase efficiency.
  • Provide behind-the-scenes support for high-level meetings, track follow-ups, and deliverables.
  • Help translate ideas into structured plans and next steps, enabling faster decisions and greater momentum.

Key Responsibilities:

You will be responsible for providing exceptional support to our CEO, including managing their calendar, booking travel arrangements, fielding communications, and drafting correspondence.

Requirements:

To succeed in this role, you will need:

  • 2–5 years of experience in executive support, operations, or chief-of-staff-like roles.
  • Strong capability in modern productivity and communication tools.
  • Excellent verbal and written communication, discretion, and time management.
  • Proven ability to handle ambiguity and juggle competing priorities with grace.

Preferred Qualifications:

While not required, experience in startups, venture capital, media, or fast-paced environments would be beneficial.

Work Schedule:

This is a full-time position with a standard Monday to Friday schedule, 7:00am to 3:00pm PST.
