Key Responsibilities
  • Project Management Support:
  • Assist the Director in new program initiatives and projects.
  • Attend client calls and business development meetings as instructed by the Director.
  • Stay updated on industry trends and practices that may impact projects, providing feedback to the Director on how to anticipate and manage their possible impact.
  • Prepare necessary materials, infographics, and presentation kits.
  • Facilitate opportunities to network, manage, and maintain client relationships and partnerships.
  • Document all meetings, proceedings, events, projects, and activities of the Director, taking crucial notes of pertinent information relevant to project success.
  • Track different projects of the Director.
  • Record pertinent data in the Office database, ensuring timely updates, and recommend strategies for seamless data capture.
Administrative Support
  • Monitor Director schedules and appointments with external clients and partners, as well as programs conducted outside the campus.
  • Closely coordinate with the University Marketing and Communications Office and CCE's Marketing team to create communication campaigns, ensuring compliance with University directives, protocols, and branding guidelines related to communication.
  • Maintain records of learning development needs and program attendance of CCE employees.
  • Ensure documents and contracts for approval are adequately supported and properly conceptualized.
Internal Recruitment and Internship Program Management
  • Oversee employee recruitment strategies of the Center in consultation with the HR Cluster.
  • Manage the internship program for the Center as part of its recruitment strategy.
  • Keep track of CHED regulations regarding the internship program.
  • Identify potential internship opportunities by coordinating and cultivating relationships with academic departments in the University and other schools.
  • Prepare Memoranda of Agreement (MOAs) and other internship/partnership agreements, and facilitate routing for necessary approvals in coordination with the University Legal and Compliance Office and University Data Protection Office.
  • Serve as liaison between students and academic departments addressing inquiries and concerns about the internship program.
  • Gather feedback from interns and internal stakeholders regarding the internship program's objectives and agreements.
Required Skills and Qualifications
  • Bachelor's Degree graduate.
  • At least two to three years of related work experience.
