Payroll Expertise

This role is responsible for managing the end-to-end payroll process for approximately 600 multi-state union and non-union employees. This position ensures timely, accurate payroll processing in accordance with collective bargaining agreements, internal policies, and all applicable federal, state, and local laws.

The Payroll Specialist works closely with HR, Finance, and external vendors to resolve payroll issues and align payroll with organizational goals. This includes providing training and support to management on timekeeping and payroll systems.

  • Key Responsibilities:
  • Accurately process bi-weekly payroll for multi-state employees and weekly off-cycle payrolls.
  • Process and audit timecards, rate changes, retroactive adjustments, bonuses, and final pay calculations.
  • Ensure approvals of time and pay exceptions by managers before processing.
  • Process and verify deductions, including benefits, union dues, garnishments, auto allowance, and Direct Bill payments.
  • Manage W-2s, year-end filings, and state tax withholdings setup.
  • Submit and audit files for DailyPay, Purchasing Power, and other payroll-related programs.
  • Maintain up-to-date knowledge of federal and state payroll and leave laws, labor regulations per FLSA, and prevailing wage requirements.
  • Audit payroll and timekeeping data regularly for compliance and accuracy.
Required Skills and Qualifications
  • Education & Experience:
  • Bachelor's degree in Business, Accounting, or a related field.
  • Minimum of 5 years of hands-on payroll processing experience in a multi-jurisdiction environment.
  • Strong understanding of payroll laws, accounting principles, and tax regulations.
  • Skills and Competencies:
  • Strong analytical and problem-solving abilities.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage sensitive, time-critical information with discretion.
  • Excellent communication and interpersonal skills.
