The Center Administration and Human Resources Officer at Operation Smile Philippines (OSP) Cebu Center of Excellence (COE) plays a vital role in ensuring the smooth operation of the center. This position is responsible for providing administrative support to the management team, coordinating with contractors and partners, and maintaining accurate records and databases. Key responsibilities include:
- Scheduling meetings, managing calendars, coordinating travel arrangements, and preparing documents or presentations.
- Maintaining project files, records, and databases, and organizing and archiving project documents, meeting minutes, and reports.
- Drafting, proofreading, and formatting emails, memos, reports, and other project-related documents.
- Maintaining resources throughout the center in alignment with the Operations team.
- Coordinating resources, such as personnel, equipment, and supplies, and collaborating with internal departments and external vendors.
- Maintaining and leading verification of credentials for new employees in human resources capacity.
- Providing review and assessment of staff trainings, onboarding resources and materials for new personnel, coordinating workforce management, staff engagement, and supporting the Center Director for monitoring and evaluation processes for all COE staff.
- Assisting in educating staff on expense policies, procedures, and best practices.
- Performing ad hoc administrative tasks to support the center's programs, operations, key initiatives, and development.
