Key Job Responsibilities

The primary objective of this role is to ensure seamless financial operations, encompassing accounts payable, accounts receivable, and billing. This position requires effective financial management, accurate reporting, and collaboration with cross-functional teams.

Key Accountabilities:

  • Accounts Receivable Management
    • Manage timely and accurate billing in accordance with shipment documentation and logistics agreements.
    • Monitor aging reports and investigate overdue invoices with a customer-centric approach.
    • Resolve short payments and discrepancies before communicating with clients, ensuring smooth client relationships.
    • Balance customer accounts and support the end-of-month AR closing process.
  • Accounts Payable Processing
    • Process and accurately code vendor invoices (e.g., fuel, GL entries), ensuring approval and accurate postings.
    • Reconcile vendor statements and resolve discrepancies efficiently.
    • Ensure timely vendor payments and maintain audit-ready documentation, supporting the month-end closing process.
  • Billing Operations
    • Coordinate billing across trucking and warehousing divisions.
    • Address and resolve billing discrepancies or issues raised by clients or internal teams.
    • Ensure billing aligns with logistics-specific systems and operations.
  • Financial Process Improvement
    • Support AR/AP reconciliations during monthly close.
    • Develop reports (aging summaries, cash flow insights) to inform leadership decisions.
    • Suggest improvements to workflows for enhanced efficiency and accuracy in financial processes.
  • Collaboration and Communication
    • Work closely with operations, customer service, and external vendors to facilitate invoicing and payment coordination.
    • Communicate effectively across different time zones (via Slack, email, or calls).
    • Maintain clear documentation and contribute to continuous improvement initiatives.
Required Skills and Qualifications
  • Minimum 3 years of experience in Accounts Payable, Accounts Receivable, or Billing roles
  • Strong proficiency in Excel (pivot tables, formulas, VLOOKUPs) and experience with tools like Bill.com or ERP systems
  • Exceptional attention to detail and problem-solving skills
  • Excellent English communication skills, both written and verbal
  • Familiarity with logistics terminology, TMS platforms, or freight documentation is highly desirable
