Junior Administration OfficerÂ
Objective of the positionÂ
Responsible for providing administrative support to the team, facilitating operational tasks crucial for the Chamberâs fulfillment of its business objectives. This position reports directly to the Head of Internal Organization.  Â
Â
Principal AccountabilitiesÂ
- Management of area of responsibilityÂ
- supervises the administration assistantÂ
- collaborates with finance officerÂ
- discusses and communicates KPIs regularlyÂ
- keeps the office and stockroom clean and safe to workÂ
Â
Main Operational TasksÂ
- Calendar management
- plans and schedules driving and messengerial errands Â
- update events calendarÂ
- update teams calendarÂ
- Communication management
- handles incoming and outgoing calls (monitors all incoming calls and ensure that proper message endorsement is completed)Â Â
- handles [HIDDEN TEXT] communicationsÂ
- handles initial communication of employment and internship requirementsÂ
- Contacts management
- coordinates with building administration (on building movements)Â
- coordinates with corporate secretary, tax consultant, government officesÂ
- coordinates with IT consultant and other service providersÂ
- sources and accredits suppliers and maintains master vendor listÂ
- Office supply management
- monitors and replenishes office and pantry suppliesÂ
- conducts regular inventory count (office supplies, furniture and equipment)Â Â
- summarizes galley meal consumptionsÂ

Organization Â
- organizes and maintains administration files and recordsÂ
- documents onboarding and off-boarding proceduresÂ
- Customer and team supportÂ
- handles basic office technology troubleshooting Â
- handles meeting room reservations of meeting requests from all departments (and arranges refreshments, audio visual equipment, if required)Â Â
- handles events materials requirementsÂ
- monitors leave planning of all employeesÂ
- initiates birthday and farewell celebration of employees and internsÂ
- implements (and conceptualizes) quarterly and yearly employee activities (CSR, team outing, team Christmas party, quarterly team activities)Â
- monitors intern schedule and inform Department Heads on internship requirementsÂ
- Finance supportÂ
- manages petty cash fundÂ
- assists collection of open invoicesÂ
- assists release of paymentsÂ
- champions compliance on 3-quotation requirementsÂ
- Ad Hoc tasks assigned by the department headÂ

Job Qualifications and Requirements Â
Â
- Education: Bachelorâs Degree in Business AdministrationÂ
- Experience: At least 2 years of experience in office administrationÂ
- Key Competencies:
- Excellent management skillsÂ
- Effective communication, excellent verbal and written capabilitiesÂ
- Competent in use of business technology, internet, MS Office products, spreadsheets and database packages Â
- Friendly, supportive and helpful attitudeÂ
- Ability to work with minimal supervisionÂ
