Job Summary:
The Cash Inventory Custodian manages and oversees all aspects of cash handling, storage, and inventory within an organization. This includes maintaining accurate cash counts, securing cash deposits, reconciling cash transactions, and ensuring compliance with internal controls and safety protocols. The role may also involve overseeing petty cash funds, conducting audits, and working closely with other departments to ensure financial accuracy and security.
Key Responsibilities:
Cash Handling and Storage:
Securely store cash in a safe or designated cash area, ensuring all valuables are protected from theft or loss.
Manage the day-to-day handling of cash transactions, ensuring accuracy in deposits, withdrawals, and change requests.
Ensure that cash drawers, registers, and safes are properly organized and well-maintained.
Perform regular cash replenishment, ensuring there is enough change available for business operations.
Cash Reconciliation:
Reconcile cash register totals and cash balances at the end of each shift or business day.
Investigate and resolve any discrepancies in cash amounts, ensuring any shortages or overages are reported.
Prepare daily, weekly, and monthly cash reports and submit them to the appropriate departments (e.g., accounting or finance).
Perform periodic audits of cash on hand to ensure proper inventory levels and adherence to procedures.
Inventory Management:
Maintain accurate records of cash-related inventory (e.g., coins, bills, change) and other valuable items (such as vouchers or gift cards).
Track and monitor the flow of inventory related to cash and cash equivalents, including ensuring accurate stocking and availability.
Perform routine audits of inventory to ensure it matches recorded amounts and correct any discrepancies.
Deposits and Withdrawals:
Prepare cash deposits and coordinate with banks or other financial institutions for deposit processing.
Safeguard cash during transport to and from bank locations, ensuring compliance with company security protocols.
Handle cash withdrawals for business expenses, petty cash requests, and other operational needs.
Compliance and Security:
Ensure all cash handling and inventory management procedures comply with company policies, financial regulations, and industry standards.
Maintain a high level of security for all cash handling operations, including following protocols for opening and closing cash drawers, counting cash, and securing cash rooms or safes.
Ensure proper documentation and authorization for all cash-related transactions.
Customer Service and Coordination:
Work closely with other departments, such as sales or accounting, to ensure smooth cash flow and resolve any issues related to cash management.
Provide training or guidance to other staff on proper cash handling techniques and security measures.
Skills & Qualifications:
Education:
Candidate must be a Graduate of BSBA Financial Management or any finance related course.
· Inventory and cash handling experience is an advantage.
· Fresh Graduates are encouraged to apply.
Experience:
Prior experience in cash handling, inventory control, or a related role is often required.
Experience with cash register systems, point-of-sale (POS) systems, or financial software is a plus.
Key Skills:
Attention to Detail: Ability to track and account for cash and inventory accurately.
Organizational Skills: Ability to manage multiple tasks and responsibilities while maintaining accuracy.
Mathematical Skills: Strong ability to perform basic math for cash counting, reconciliation, and reporting.
Problem-Solving: Ability to identify and resolve discrepancies in cash balances and inventory records.
Trustworthiness & Integrity: Must be highly dependable, with a strong sense of responsibility for safeguarding assets.
Communication: Ability to communicate effectively with colleagues, supervisors, and external partners (e.g., banks or auditors).
