MARKETING ADMIN ASSISTANT

The Marketing Admin Assistant provides essential administrative support to the marketing team, ensuring smooth execution of campaigns, events, and daily operations. This role is responsible for organizing marketing materials, coordinating with suppliers and internal teams, maintaining marketing records, and handling backend tasks that enable the team to focus on content creation, strategy, and execution. The ideal candidate is proactive, detail-oriented, and highly organized, with a strong desire to contribute to the success of the marketing team.

Essential Duties and Responsibilities:

Administrative Support:

  • Organize and maintain marketing files, documents, and digital assets.
  • Prepare and process purchase requests, invoices, and expense reports related to marketing activities.
  • Coordinate with internal departments and external vendors for marketing-related requirements.
  • Maintain databases, contact lists, and marketing documentation.
  • Assist in preparing and updating reports, presentations, and spreadsheets for marketing performance tracking.
  • Handle logistics for marketing team meetings, including scheduling, agenda preparation, and minutes of meetings.

Marketing Operations Support:

  • Monitor and update the social media content calendar, ensuring timely posting.
  • Assist in content scheduling and engagement tracking for digital platforms.
  • Help maintain the Traxion Marketing Scorecard and marketing performance data.
  • Coordinate marketing assets for internal and external use, ensuring brand consistency.
  • Assist in basic content organization, including proofreading, formatting, and minor design adjustments using Canva.
  • Assist in planning and executing marketing events, including logistics, registrations, and promotional materials.
  • Organize and distribute marketing collaterals for events, MOA signings, and campaigns.
  • Source and coordinate with suppliers for quotations, production, and delivery of marketing materials.
  • Ensure marketing materials are properly stocked, organized, and distributed when needed.

General Marketing Assistance:

  • Support campaign execution by handling backend administrative work.
  • Conduct basic research to assist the marketing team in competitor analysis and industry trends.
  • Assist in updating company advisories and announcements.
  • Support the marketing team in other general administrative and operational tasks as required.

Must Have:

  • Strong organizational and time-management skills.
  • Proficiency in Google Workspace (Drive, Docs, Sheets, Slides) for document management.
  • Basic knowledge of Canva for minor design and formatting tasks.
  • Excellent communication and coordination skills.
  • Ability to multi-task and work independently in a fast-paced environment.
  • Attention to detail and proactive problem-solving skills.
