Responsibilities:
Proactively manage the Manager's schedule and tasks.
Draft letters, emails, and other communications as needed.
Handle government regulatory compliance, including the preparation, filing, and processing of documents, certificates, permits, and licenses across various government agencies.
Assist with purchasing, including coordinating with suppliers and payment of payables.
Attend meetings to take notes, summarize discussions, and follow up on action items.
Organize and maintain important documents, ensuring that all files are accessible and well-documented.
Perform routine bank errands as needed to support daily operations.
Assist with general office tasks, including filing, data entry, and other administrative duties that contribute to the smooth functioning of the office.
What We're Looking For:
Experience: Minimum of 2 years of experience as a Secretary, Executive Assistant, or similar administrative role.
Proficiency in Microsoft Office: You should be comfortable using Word and Excel.
Exceptional Organizational Skills: You must be detail-oriented and skilled at managing multiple tasks at once. Must have a systematic approach to filing and scheduling.
Excellent Communication: Ability to draft clear, concise, and professional letters and emails.
Note-Taking Ability: A natural talent for documenting meetings and key points with accuracy.
Strong Memory & Attention to Detail: You’ll need to be able to recall important details accurately and anticipate needs to keep things running smoothly.
Education: A Bachelor's Degree is required for this Secretary position.
