Job DescriptionDescription

Responsibilities:

  • Provide comprehensive administrative support to the executive, including managing calendars, scheduling appointments, coordinating meetings, and making travel arrangements.
  • Handle correspondence, emails, and phone calls on behalf of the Executive. Draft, proofread, and edit documents, letters, and reports, as needed.
  • Take Minutes of the Meeting and distribute them to the relevant parties.
  • Maintain and organize files, records, and documents related to the Executive's activities. Retrieve and provide information if required. Ensure that the data is handled with confidentiality and accuracy.
  • Act as a point of contact and maintain effective communication between the executive and internal and external stakeholders.
  • Coordinate with different departments, teams, and individuals to facilitate smooth operations and ensure timely completion of tasks.
  • Plan, arrange, and coordinate travel itineraries, accommodation, and transportation for the executive.
  • Organize and coordinate events, conferences, and meetings.
  • Handle sensitive and confidential information with the utmost discretion and professionalism. Maintain a high level of confidentiality in all matters relative to the executive and organization.
  • Provide additional support as needed including but not limited to banking requirements, handling bank accounts, special projects, or initiatives assigned by the executive.

Qualifications:

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
