Business Operations Associate
The Role
We're looking for a Business Operations Associate to help get more value from the software and tools we already use, while making it easier, clearer, and safer to request, renew, review, and retire tools as we scale.
This role sits at the intersection of BizOps, Finance, IT, Legal, Procurement, and functional teams. You'll help run Lyka's licensed software lifecycle process end to end: keeping our tool register clean, supporting owners through renewals, spotting duplicate or underused tools, improving procurement workflows, and making sure decisions are backed by data rather than gut feel.
You'll be hands-on in the detail, but always looking for the system behind the work. The right person will enjoy turning messy tool, ownership, renewal, cost, and usage information into simple processes that help teams move faster, reduce wasted spend, and make confident decisions.
Role Responsibilities
- Software lifecycle operations
- Maintain central tool register so ownership, access model, purpose, usage, renewal, and support information stays current.
- Support the end-to-end lifecycle process for licensed software: request, assess, approve, buy, onboard, review, renew, and retire.
- Ensure each tool has clear owners, admins, budget owners, data stewards, and backups.
- Renewals, reviews, and value extraction
- Coordinate a regular cadence of tool reviews with functional owners, budget owners, IT, Finance, and Legal.
- Compare contracted vs active seats, renewal dates, payment method, cost, ownership, and business value to spot unused licences, duplicates, unclear ownership, risky terms, and consolidation opportunities.
- Support renew / retire / replace recommendations with clear evidence and practical next steps.
- Procurement and process improvement
- Help improve Lyka's licensed software procurement process so teams know what to do, who to involve, and when.
- Triage new tool requests, ensuring the right information is captured and existing tools are considered before exploring new spend.
- Turn repeated pain points into better templates, checklists, workflows, and guidance.
- Cross-functional ways of working
- Partner with Finance, IT, Legal, Procurement, People, and department leads to make tool decisions easier and more consistent.
- Drive follow-ups across busy teams, communicating decisions, trade-offs, owners, risks, and next steps clearly.
- Data, reporting, and governance
- Build and maintain simple reporting on tool spend, renewals, ownership gaps, usage gaps, and lifecycle status.
- Use data to identify where Lyka is overpaying, underusing, duplicating, or carrying avoidable risk.
- Support audit readiness by keeping records clear, traceable, and up to date.
- Change management and enablement
- Support rollout of improved tool lifecycle processes, including comms, guides, training, and owner onboarding.
- Help teams understand their responsibilities as tool owners, admins, and budget owners.
- Make it easier for people to do the right thing without needing to decode a policy or ask multiple teams.
Qualifications and Requirements
- 1-3+ years’ experience in business operations, procurement operations, vendor management, finance operations, systems administration, consulting, project coordination, or a similar role.
- Strong organisational skills and comfort managing many moving parts across owners, dates, data points, and follow-ups.
- Confident working with Notion, databases, or workflow tools to keep information clean and useful.
- Strong attention to detail, especially with ownership, dates, costs, process steps, and handoffs.
- Comfortable using data to identify patterns, gaps, risks, and opportunities.
- Clear written and verbal communicator who can make complex processes simple.
- Strong stakeholder management skills; able to follow up, clarify ambiguity, and drive action across teams.
- Proactive, practical, and comfortable improving processes while still operating them.
- Commercial mindset: interested in reducing waste, improving efficiency, and helping the business get better value from existing tools.
- Experience with software tools, procurement, contract renewals, finance processes, or vendor management is a plus.
- Experience in a high-growth, scale-up, consumer goods, manufacturing, or operations-heavy environment is a plus.
