Job Description

The Property Manager manages and operates the clients' assets and finances efficiently and economically, ensuring the highest level of integrity and excellence. He/She ensures strict compliance with the Management Agreement between Pro-Excel Property Managers Inc. and the specific assigned property, including but not limited to, the Master Deed & Declaration of Restrictions, House Rules & Regulations, and By-Laws. He/She enforces the Policy Guidelines of the Company and the Client as promulgated by the Board of Trustees.

KEY ACCOUNTABILITIES

1. ADMINISTRATION

  1. Coordinate with different organizations, agencies, and/or offices related to the assigned property.
  2. Supervise all personnel assigned to the property, including subcontracted services such as housekeeping, groundskeeping, engineering, maintenance, and security.
  3. Oversee general maintenance, security, safety, and cleanliness of the property.
  4. Address and respond to residents' concerns, complaints, and inquiries.
  5. Act as mediator on issues between residents before escalating to the Grievance Committee.
  6. Prepare and submit monthly management reports and other required reports.
  7. Ensure the property is insured against fire, damage, and other risks, with coverage approved by the Condominium Corporation or Homeowners Association.
  8. Recommend programs or action plans to maintain and improve facilities and services.
  9. Prepare agendas and materials for meetings such as Board Meetings and General Membership meetings.
  10. Implement policies and programs as promulgated by the Board of Trustees.
  11. Prepare correspondences, circulars, newsletters, and memoranda for residents and stakeholders.
  12. Ensure construction and fit-out works comply with building codes and LGU regulations.
  13. Conduct regular meetings, including Board of Trustees meetings, AGMM, vendor evaluations, and coordination meetings.
  14. Maintain proper filing of legal and conveyance documents onsite.
  15. Safeguard residents' security and confidentiality standards, especially data handling.
  16. Perform other duties as necessary.

2. FINANCIAL

  1. Submit daily and monthly cash flow statements detailing collections and disbursements.
  2. Review and evaluate monthly and annual financial statements prepared by the accounting department.
  3. Handle and safeguard clients' funds and assets, aiming for cost savings.
  4. Prepare annual budgets, operating expenses, capital expenditures, and assessments for approval.
  5. Monitor daily collection reports against deposits and cash positions.
  6. Verify the accuracy of accounting records.
  7. Distribute monthly statements of account promptly.
  8. Enforce collection policies to ensure timely payments from unit owners, tenants, and occupants.
  9. Review and process payments for government dues and assessments.
  10. Safeguard and control accountable forms such as official receipts and acknowledgment receipts.
  11. Meet collection efficiency targets for association dues and other fees.
  12. Ensure timely collection and release of management and service fees.
  13. Monitor petty cash fund disbursements and replenishments.
  14. Recommend cost reduction activities.
  15. Perform other financial duties as necessary.
