Our client is looking for a Virtual Assistant who will provide comprehensive administrative, organizational, and operational support remotely to one client with multiple stakeholders (Coaches), based in the United States. This role demands exceptional multitasking skills, a high level of organization, and the ability to work efficiently in a fast-paced environment. The ideal candidate will be proactive, detail-oriented, and adept at managing a diverse range of tasks.
Responsibilities- Email Management: Manage and organize emails, including ESC2 database mining and sending nurturing emails.
- Scheduling: Schedule and coordinate meetings, appointments, and occasional travel arrangements, ensuring efficient time management.
- Document Management: Prepare and organize documents such as reports, memos, and other office files.
- Research: Conduct resume sourcing and mining, add new customer records to ESC2, and suggest local networking or other groups.
- Social Media: Create content, schedule posts, engage the audience, and track performance.
- Customer Relationship Management: Provide client support by managing inquiries and feedback, resolve issues timely, and track opportunities in CRMs with necessary follow-through.
- Administrative Support: Provide administrative assistance, including basic accounting tasks, conducting territory checks, and preparing/sending customer contracts and funding/affiliate referrals.
- Special Projects/Project Management: Assist in preparing regularly scheduled reports, coordinating projects, and supporting delivery.
- Bachelor's degree preferred, but not required; a high school diploma is required.
- Experience as a virtual/remote assistant.
- At least one year of experience in lead generation and/or appointment setting for international clients.
- Ability to qualify and prioritize leads effectively.
- Strong computer aptitude with experience in Microsoft 365, G-Suite, Canva, Zoom, Dropbox, Asana, Calendly, Doodle, Skype, Slack, Trello, Adobe Acrobat, LastPass, LinkedIn; CRM experience; familiarity with AI and automation tools.
- Strong organization, oral and written communication skills.
- Analytical skills with attention to detail.
- Aptitude in data management, analytics, and reporting preparation.
- Ability to work autonomously and be self-directed.
- Highly flexible and adaptable, with ability to report and collaborate with multiple coaches and adjust to varying communication styles and priorities.
