Role Overview

The Analyst, Procurement handles the end-to-end acquisition of resources, ensures on-time deliveries, finds suitable vendors, and analyzes data to identify cost-saving opportunities, negotiates with vendors, and ensures compliance with policies.

Duties & Responsibilities
  1. End-to-end Procurement Processing
  2. Canvassing/sourcing repeat requirements or easily acquired resources within the set timeline
  3. Conducts request for quotation/proposals (RFQ/RFP) from the accredited vendors or new vendors for easily acquired requirements
  4. Requests quotation/proposals, prepares comparison, and recommends top vendors based on the set criteria to the requesting party
  5. Vendor negotiation and savings generation
  6. Vendor Accreditation and Onboarding
  7. Ensures vendor compliance to required accreditation information and documents
  8. Ensures timely and complete onboarding, vendor master list updating, and filing of vendor records/documents
  9. Purchase Requisition and Ordering
  10. Daily PR review and verification of its propriety according to procedures, guidelines, and policies
  11. Purchase order creation and releasing to vendors, ensuring on-time deliveries, and PO timely closures and proper filing.
  12. Coordinate with AP for the payment processing
  13. Investigate and resolve concerns arising from deliveries or other vendor-related issues
  14. Vendor and Stakeholder Management
  15. Develop and maintain trusting and positive relationships with vendors
  16. Develop and nurture good working relationships with stakeholders by collaborating and working toward common goals.
  17. Contract Management
  18. Ensure commercial terms are reviewed and in order
  19. Confirm legal terms with the legal team
  20. Ensure signed contracts are properly compiled and updated
  21. Perform tasks which may be assigned from time to time

  4. Excellent communication skills in dealing with external and internal stakeholders
  5. Proficiency with Excel/Google Sheets formulas and functions and Google Slides
  6. Procurement Knowledge: strong understanding of procurement processes, including identifying and assessing vendors, negotiating terms, analyzing costs, and ensuring compliance with legal standards.
  7. Analysis and Problem Solving: ability to carefully analyze the situation and information to come up with solutions.
  8. Initiative & Time-management: ability to identify what needs to be done and do it proactively. Organize tasks, plan workload, allocate time effectively, and find ways to complete tasks with minimal supervision.
  9. Quality work-oriented: accomplish tasks accurately and timely by considering all areas involved and contributing to the effectiveness of the department.
  10. Communicate effectively: clearly express requirements, understand ideas and instructions, and share process-related information with stakeholders.
  11. Customer Focus: establish good working relationships with internal and external stakeholders by understanding and responding promptly and courteously to their needs.

2+ years of experience in the related field

Proven working experience in the field of Procurement End-to-End Process.

Educational and Certification Requirements

Bachelor's Degree in Business Administration or any business-related course
