We are seeking an experienced and highly motivated Client Coordinator/Administrator to join our growing team.

Job Summary: The Client Coordinator/Administrator shall be reporting to the Client Success Manager to provide business unit administrative support within the Client Success Team.

Responsibilities

Administrative Tasks

  • Perform general administrative tasks.
  • Maintain and update internal databases, records, and documents.
  • Responsible for updating and monitoring client requests and inquiries and tracking updates within the SLA period - recruitment.
  • Coordinate travel arrangements for employees/clients as requested.
  • Responsible for preparing and assisting with completion of forms and documentation associated with onboarding, client requests, travel arrangements, etc.
  • Collaborate with different departments to gather and compile data for various reports and presentations.
  • Responsible for checking, reviewing, and updating all client database monitoring on a regular basis.
  • Gather account-specific information required as needed for reporting purposes or conducting reviews.
  • Conduct regular checks of accounts information ensuring pertinent details are up to date, including the names of point-of-contacts.
  • Tracking, monitoring, and following up on job orders for existing clients.
  • Provide administrative support to CS Team as required.
  • Handle confidential information with discretion and maintain a high level of confidentiality at all times.

Onboarding

  • Responsible for communicating with the onboarding team on any changes related to staff start date or any adjustments made as per discussion of CSO with the client.
  • Support the CS Team during the onboarding process for new clients, including the preparation of the Client Onboarding deck and preparing necessary paperwork.

Staff Reviews

  • Responsible for reviewing the list of staff due for review on a regular basis and checking feedback received and submitted by the client and coordinating with the assigned CS for further action.

Ad Hoc Duties as assigned

Requirements
  • Proven experience as an administrative assistant, office administrator, or similar role.
  • Strong organizational and multitasking skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in using office software, including Google Workspace, MS Office (Word, Excel, PowerPoint), and email systems.
  • Attention to detail and high level of accuracy in all work.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving skills and ability to adapt to changing priorities.
  • Discretion and integrity in handling sensitive and confidential information.
  • Excellent communication and interpersonal skills, with the ability to build rapport and establish trust with clients.
  • Strong problem-solving abilities and a proactive mindset to anticipate and address client needs.
  • Detail-oriented and organized, with the ability to manage multiple tasks and prioritize effectively.
  • Familiarity with CRM software and customer support tools is a plus.
  • Bachelor's degree in business administration or a related field is preferred.
